Forty enquiries a month and four hundred are different systems. More volume usually means more edge cases, not just more messages.

Every figure on this page is under what the rest of the South African market charges, and that is deliberate rather than desperate. We are new. The Results page is empty and we are not going to fill it with borrowed logos, so the only way we get real South African numbers on it is to be the obvious, easy, low-risk yes for the businesses who go first.

The honest version of the deal: help the business first and the rest follows. If your enquiries get answered, your diary fills and your admin stops eating your evenings, you tell someone. In industries where everybody knows everybody, that has always been worth more than a margin. We would rather be paid properly in three years by people who stayed than squeeze the first thirty.

Two things we will not pretend about. What's the setup fee, really?
Usually one to two months of the retainer, depending on how many channels and systems we're connecting. It's quoted after the audit, as one number, before you commit to anything.
Am I locked into a contract?
Month to month after the first three, and the first three exist because that's how long it takes to know whether it's working. If you leave, you keep the workflows and the documentation.
What if my volumes are tiny?
Then Reception at the bottom of the range, or honestly, one of the R299 tools. We'll tell you which on the call and we won't be precious about it.
Do you charge per message or per conversation?
No. Flat monthly, so a good month doesn't cost you more. Model costs are ours to manage — that's our problem to optimise, not yours to worry about.
Is there a cost when it hands over to me?
None. It's meant to hand over. Charging you for the escalations would be an incentive to build something that never escalates, which is exactly the wrong incentive.

A media agency that got tired of watching leads die.

Awake AI is the sister company to Awake Media Agency, and it exists because of something we kept seeing from the marketing side.

For years we ran campaigns for South African businesses and watched the same thing happen. The ads worked. The leads arrived. And then a good third of them simply evaporated between arriving and being answered.

Speed to Lead South Africa: How to Respond Faster

The speed-to-lead research is unusually consistent. Here is what it says, what it does not say, and how it changes on a WhatsApp-first market.

Speed to lead is one of the very few things in sales that survives contact with evidence. The research is unusually consistent, and the South African version of the finding is stronger than the imported one. The research is old, it has been repeated, and it says roughly the same thing every time: the business that answers first usually gets the work, and the drop-off is far steeper than anybody's instinct suggests.

What almost nobody does is check whether the research describes their market. It was done on American companies, mostly answering web forms, mostly during office hours, mostly business-to-business. That is not a plumber in Bellville whose phone rings at 19:42, and it is not a practice manager watching WhatsApps stack up while she is chairside. The finding holds. The mechanics do not.

What the research actually found

Two studies get quoted, usually interchangeably, and they are not the same thing.

The first is the MIT / InsideSales Lead Response Management study, run by Dr James Oldroyd in 2007 across six companies and more than fifteen thousand leads. Its headline is the one everybody repeats: contacting a lead within five minutes rather than thirty produces roughly a hundredfold improvement in the odds of making contact at all, and about a twentyfold improvement in the odds of qualifying them.

The second is the Harvard Business Review paper — Oldroyd, McElheran and Elkington, 2011 — which audited 2 241 US companies and found the average first response was 42 hours. Firms that responded within an hour were nearly seven times more likely to have a meaningful conversation than those that waited just sixty minutes longer.

Those two findings get merged into one statistic constantly, usually credited to the wrong paper. The distinction matters, because the second one is the more useful number for a small business. It is not saying "be fast". It is saying that the entire competitive field is slow, and that the bar is much lower than anybody assumes.

How to respond to leads faster in a WhatsApp market

Here the imported playbook starts to bend.

An American web form is asynchronous by design. Somebody fills it in, closes the tab, and expects a reply at some point. The five-minute rule works because they are still at their desk, still in the mindset, still comparing.

A WhatsApp message is not that, and in this market that is the general case rather than the exception: DataReportal's Digital 2026 report puts WhatsApp reach at roughly 96% of South African internet users.

A message is a conversation that has already started. The sender can see whether it was delivered. They can see whether it was read. If they sent the same message to three installers — and they did — they can see which one is typing.

That changes the maths in two directions at once.

The window is shorter. A message read and not answered reads as a decision, not a delay. The sender knows you saw it.

The window is also more forgiving. A reply at 21:15 is not strange on WhatsApp the way a phone call at 21:15 would be strange. Nobody thinks less of you for it, which means the after-hours reply is available to you in a way it never was on the phone.

The practical consequence is that "first" in a WhatsApp market means first to say something useful, not first to make contact. An automated "Thanks, we'll be in touch" is technically a reply and buys you nothing — arguably less than nothing, because it consumes the read receipt without answering the question. The reply that wins is the one that engages with what was asked: what is wrong, where are you, what does that usually cost.

The part the research does not tell you

The studies measure what happens after a lead arrives. They are silent on the enquiries that never register as leads at all, and for most small South African businesses that is the bigger hole.

A missed call is not in anybody's CRM. There is no row for it. If your phone rang out at 16:50 on a Friday while you were under a sink, that enquiry does not exist anywhere except in the memory of somebody who has already phoned the next name on the list. The same is true of the WhatsApp that arrived while you were driving and got buried under nine others by the time you stopped.

This is why we start every engagement by measuring rather than building. You cannot improve a response time you have never measured, and almost nobody has measured it, because the tooling to do so does not come as standard on a cellphone. A week of call logs will tell you how many rang out and when. That is usually the most uncomfortable document in the whole process, and it is free — it is the Awake Audit, and the number it produces is yours, not an industry average.

The three practical changes that close the gap

Everything above is diagnosis. This is what actually moves the number.

Answer on the channel it arrived on. An enquiry that comes in on WhatsApp and gets replied to by email has not been answered quickly. It has been answered somewhere the sender is not looking.

Say something specific in the first reply. "Thanks, we'll be in touch" consumes the read receipt and buys nothing. The first reply should engage with the actual question — what is wrong, where are you, what does that usually cost. A useful reply in four minutes beats an empty one in forty seconds.

Remove the dependency on a person being free. This is the only one that survives a Saturday, and it is the whole reason the 42-hour average exists.

What a realistic target looks like

Under sixty seconds, on every channel, at every hour. Not because sixty seconds is magic, but because it is the only target that survives a Saturday.

Anything that depends on a person being available has a hole in it the size of their sleep. A target of "within the hour" is really a target of "within the hour, during working days, unless we are busy" — which is the same as no target at all, and it is what the 42-hour average in the HBR study is actually made of. Nobody in those 2 241 companies had a policy of taking two days. They had a policy that quietly excluded evenings, weekends, lunch, leave and the days when everything went wrong at once.

If you want to see what sixty seconds feels like from the customer's side rather than reading about it, there is a stopwatch in the Playground — send a real enquiry to your own business and to anybody you want to measure yourself against, and watch the clock run. It is the least flattering two minutes on this website and it is the most useful.

What this does not mean

It does not mean automate everything. It does not mean a customer should never speak to a person — for most of the businesses we work with, the whole point of answering fast is to get to the human conversation sooner, with the boring details already collected.

And it does not mean speed beats competence. A fast wrong answer costs more than a slow right one, particularly in law and health where a careless reply creates a problem that did not previously exist. Speed is the thing that gets you into the conversation. What you say once you are in it is a separate discipline entirely, and no amount of response time makes up for getting it wrong.

The honest summary is narrower than the headline statistics suggest: most of your competitors are slow, the gap is much larger than they think, and closing it is mostly an engineering problem rather than a sales one. What you do with the conversation once you are in it is still down to you.
