The actual problem

You're not losing to better businesses. You're losing to faster ones.

Nobody chooses the dentist with the nicest website or the installer with the best reviews. They choose whoever picks up. And in most South African small businesses, the person who picks up is also the person doing the work — so half the time, nobody does.

The call that rings out

It goes to voicemail. Almost nobody leaves one. You never learn it happened, so it never shows up as a problem — it just quietly shows up as a slower month.

The quote that takes two days

By the time it lands, they've had two others. The Lead Response Management study — MIT's James Oldroyd with InsideSales, 15 000 leads and over 100 000 call attempts — found the odds of qualifying a lead fall twenty-one-fold between a five-minute reply and a thirty-minute one.

The admin that eats the week

Rescheduling, reminders, chasing, re-typing the same details into three systems. None of it grows anything. All of it costs you evenings.

Nothing on this block is a statistic we are asserting. The sliders open on a plausible shape so the page isn't empty, and every vertical page has its own version with its own starting point. Move them to your figures and the number is yours — the only claim we make here is the multiplication. Where a real published figure is used anywhere on this site, it is named and sourced on the spot.

We'd rather show you nothing than show you something we made up.

Awake AI is new. Most agencies would fill this space with stock logos and a made-up percentage. Instead, here's exactly what we measure from day one — and the moment there are real numbers from a real South African client, they go here with their name on them.

You can absolutely buy a chatbot subscription for the price of a takeaway. It'll be live this afternoon, it'll answer generic questions, and it will be exactly as good as the hour you spend configuring it. For some businesses that's genuinely enough, and we'll say so on the call.

Sound familiar?

Three things we hear every single time.

Your front desk cannot answer two calls at once

Not through negligence. Because they are checking someone in, taking a payment and answering the phone at the same time. Every call that rings out is an appointment worth anywhere from R800 to R5 000 walking to the practice down the road.

After-hours enquiries go nowhere at all

The chipped tooth on Sunday, the filler enquiry at 21:00, the physio booking made from bed. Those are all decided that same night, by whoever answers.

Recalls and no-shows are pure lost money

The six-month checkup nobody chased. The R2 500 slot that emptied at 08:00. Both are entirely recoverable, and neither is actually anybody’s job.

Put it on your own numbers
R41 040

About 23 appointments a month — and that is before a single no-show or unchased recall is counted.

Over a year: R492 480
No benchmark is being claimed here. The sliders open on the shape of a busy multi-chair practice so the block is not empty; move them to your own figures and the number becomes yours. The only assertion on this block is the multiplication. The free Missed Patient Report measures the middle two sliders for you.
What we'd build for you

Four specific things. Not "AI solutions".

01Dental & Aesthetic

Answers, screens and books while you are chairside

What it is

Handles the call your front desk cannot get to, asks the screening questions properly, and puts the booking straight into the diary.

What it solves

The phone ringing out through an entire afternoon list, and a Tuesday diary with holes in it that were fillable at eleven that morning.

02Dental & Aesthetic

Recalls, reminders and the no-show chase

What it is

Reactivates six-month checkups, confirms the day before, and refills the slot when someone cancels — the three jobs that never get done because nobody owns them.

What it solves

The empty chair still costs you the room, the nurse and the hour — and the patient from two years ago simply drifted off and nobody noticed.

03Dental & Aesthetic

Consult triage for aesthetic work

What it is

Screens for the treatment, the budget and the timeline before it reaches your consult diary, so surgeons and injectors see prepared patients rather than browsers.

What it solves

A consult diary full of people who wanted a price, blocking the ones who wanted the treatment.

04Dental & Aesthetic

Medical aid and pricing questions, answered properly

What it is

The same eight questions answered the same correct way every single time, with the awkward ones escalated to a person.

What it solves

The same eight questions answered eight slightly different ways depending on who picked up the phone — and one of those answers being wrong.

Start here — it costs you nothing

The Missed Patient Report. Free.

With your permission we test-call the practice during lunch, after hours and on Saturday mornings for one full week.

The door opener

Then we hand you a single page: how many calls actually went unanswered, and what that is worth at your own average appointment value. Measured, not estimated. It sells itself, and there is no pitch attached to it, because it does not need one.

  • One full week of test calls, placed during lunch, after 17:00 and on Saturday mornings — the three windows where practices lose the most and notice the least.
  • Every channel, not just the phone, because the filler enquiry that arrives on Instagram at 21:00 and the booking request on WhatsApp are lost the same way.
  • Your own appointment values, which we ask you for, split between a checkup, a hygienist slot and a treatment plan — because averaging those three together tells you nothing.
  • Your recall list and no-show rate, counted honestly, because those two are usually worth more than the missed calls and almost nobody is chasing them.
  • One page, no deck and no discovery-call funnel, and yours to keep whether or not you ever work with us.

Hi, I chipped my front tooth this evening. Is there any chance of being seen tomorrow?21:04
Evening. I am sorry — that is a horrible one to happen on a Sunday. I am the practice assistant; the rooms are closed but I can get you into tomorrow if there is a slot. Is there any pain, or is it mainly the appearance?21:04
No real pain, it is the front one and I have a work thing on Wednesday.21:05
Understood. Could you send me a photo of it? It helps Dr Petersen know whether this is a straightforward bond or whether she should keep a longer slot open.21:05

Thank you. That looks like a chip to the incisal edge rather than anything structural, which is usually a single composite bond appointment — normally R1 400 to R2 600 depending on the shade match. There is an opening tomorrow at 11:20 and another at 15:40. Would either of those work?21:06

Answering now — 21:06 on a Sunday
Live in 30 days, or the month is on us
Nobody at the practice was awake for this. The chair was filled anyway.

That is the whole product in one screen. A chipped tooth on a Sunday, a filler enquiry at 21:00, a physio booking made from bed — all of them are decided that same night by whoever answers, and the practice down the road with an after-hours agent is the one that answers.

It never diagnoses and it never promises a clinical outcome. It gives the fee range you set, it screens for the things that need triage, and it books into your real diary with the right length of slot. Patient information can run on models hosted in a region you control, and for the first fortnight a person here reads every conversation it has.

The whole thing, start to finish

What actually happens when an enquiry comes in.

No jargon and nothing hand-waved. This is the sequence, in order, with the part most people worry about written underneath each step.

  1. 01

A call rings out, or a message lands after hours

The front desk is checking someone in, taking a payment and answering the phone at the same time — so the third call rings out. Or it is 21:00 on a Sunday and there is nobody there at all. The phone, WhatsApp, the website form and the Instagram DM all land in the same place, and the clock starts on all of them.

The bit people ask about: Nothing changes about your number and nothing gets installed. It watches the line and the WhatsApp number already on your website and your parking sign.
  2. 02

It answers in the practice's voice, in seconds

Warm, unhurried and clear that it is the assistant rather than the practitioner. For an anxious patient at nine in the evening, being answered at all is most of the value — the booking is almost the easy part.

The bit people ask about: You approve every line it can say before a patient sees one. A paediatric dental practice and an aesthetic clinic do not sound the same, and neither should their first reply.
  3. 03

    It screens before it books

It asks the two or three things that decide the slot: is there pain, is there swelling, is this a new patient or a recall, is it cosmetic or clinical. Anything that sounds like it needs triage — facial swelling, trauma, difficulty swallowing, uncontrolled bleeding — stops and fetches a human immediately.

The bit people ask about: It never diagnoses. The screening exists to get the right length of appointment with the right practitioner, not to form a clinical view.
  4. 04

It gives the fee range you set, and says it is a range

From the price list you give us, with the assumptions said out loud — "normally R1 400 to R2 600 depending on the shade match". For aesthetic work it can give the consultation fee and explain plainly that the treatment quote comes after the consultation.

The bit people ask about: It never invents a fixed price you then have to walk back, and it never implies a medical aid will cover something. Where the honest answer is "that depends on your plan", it says that.
  5. 05

It books into your real diary, at the right length

Into the practice management diary you already use, respecting which practitioner does which procedure and how long each actually takes — a hygienist slot, a 45-minute bond and a two-hour implant are not interchangeable.

The bit people ask about: It also collects the medical aid details and the new-patient forms before the appointment, so the first ten minutes in the chair are not spent on admin.
  6. 06

It reminds, and it chases the no-show the same day

A reminder on the channel they actually read, with the option to reschedule inside the same message. When somebody does not arrive, it reaches out within the hour to offer the next slot rather than letting the appointment quietly disappear.

The bit people ask about: An empty chair cannot be sold twice. A reminder is the cheapest revenue protection in the practice and almost nobody sends them consistently, because it is nobody's job.
  7. 07

It works the recall list nobody has time for

The six-month checkup that was never chased, the patient who came once for a filling in March and never came back, the aesthetic client whose treatment is due for a top-up. It works through them steadily and politely in your voice, and stops the moment somebody answers or asks it to.

The bit people ask about: Every practice has this list. It is entirely recoverable revenue and it is nobody's job at five o'clock on a Friday, which is exactly why it never gets done.
Where we work

Cape Town first, the country after that.

Before you book a call

Whether this is actually for you.

We would rather lose the sale than take a fee for something that will not move. Here is the honest version of both columns.

Your practice is a fit if

  • The front desk is doing three things at once and the third call rings out.
  • Enquiries arrive after hours and at weekends — which for aesthetics and emergency dentistry is most of them.
  • You have a recall list nobody has worked in months, and a no-show rate you have stopped looking at.
  • A single recovered appointment is worth enough that two or three a month pays for the whole thing.
  • You have a diary, a price list and a way of working, even if the price list lives in somebody's head.

Your practice is not a fit if

  • You are booked six weeks out and turning patients away already.
  • You want something that screens clinically or gives an opinion. We will not build that, at any price.
  • You want it running with nobody reading it. We will not build that either — that is how it drifts.
  • Your entire book is referral-only and you never take a cold enquiry.
  • You need it live next week. Thirty days is the honest floor for something that still works in month six.

Not sure which column you are in? Take the free The Missed Patient Report first. It costs nothing, and the number it gives you answers the question better than we can.

Dental & Aesthetic questions

The ones we get asked most.

Will it diagnose or give clinical advice?
No, and it is built so that it cannot. It screens for urgency, gives the fee ranges you set, and books. Anything that touches diagnosis, prognosis or treatment choice gets the same answer: only the practitioner can answer that, and here is the earliest appointment. That boundary is agreed with you in writing before it goes live.
What happens with a genuine emergency?
It is built to recognise the things that need a person now — facial swelling, trauma, difficulty breathing or swallowing, uncontrolled bleeding, a post-operative complication — and to stop, escalate and give the emergency route immediately rather than offering a slot next Tuesday. Those triggers are written with you, and we test them before go-live.
Is this POPIA compliant, and what about patient confidentiality?
You remain the responsible party; we act as an operator. What the agent stores is what the booking needs — a name, a contact number, what they asked about — for a retention period you set. When a patient asks what is held about them, you get it back within one working day with one-click deletion. For practices that want it, models can run privately so content never leaves infrastructure you control.
Will patients know they are talking to an assistant?
It says so in the first line. It never presents itself as the dentist, the surgeon or the physio, and it never signs off as one. In practice patients find that reassuring — an assistant taking details at nine at night is far better received than a voicemail, and far better than nothing.
Does it work with our practice management system?
Usually. Modern diaries with an API are straightforward. A practice management system with no API is not impossible but it is honestly quoted — sometimes the answer is a small bridge, and sometimes the answer is that it books into a linked diary and your front desk syncs it in one pass a day. We will tell you which before you sign anything.
Can it handle medical aid questions?
It can collect the scheme, plan and membership number, and it can explain your practice's general position on billing. It will not tell a patient what their plan covers, because it does not know and neither do you until it is checked. Where that is the question, it says so and routes it to the person who does the claims.
We are a single-practitioner practice. Is this overkill?
Sometimes, and we will say so. If your receptionist answers every call within the hour and your diary is full for six weeks, you may not need this yet. Where it earns its keep is the practice losing the lunch hour, the after-hours enquiry and the recall list — which is most practices with more than one chair.
What does it cost?
Reception starts at R2 450 a month with a once-off setup. The full front desk — answering, screening, booking, reminders, recalls and no-show recovery — runs R5 900 to R9 500. The Smile Journey app is milestone-billed from R60 000. It is all on the pricing page in rands.
How long before it is live?
Live in thirty days or the first month is on us. Realistically: a week measuring the current gap, two to four weeks of build with you approving every line, then live with a person here reading every conversation for a fortnight. A diary integration into an older system sits at the longer end.
Will it damage the patient relationship?
The honest risk is the opposite of what people expect. The relationship is damaged by ringing out at lunchtime and by nobody chasing a six-month recall, not by an assistant answering warmly at 21:00. What would damage it is an agent that guesses clinically or pretends to be the practitioner, which is why it does neither.
Does it work in Afrikaans?
It replies in whichever language the patient opened with. For a Western Cape practice that matters more than it sounds — an anxious patient writing in Afrikaans who gets an English auto-reply has already formed a view of the practice.
What if I want to stop?
You keep the workflows, the documentation, the conversation history and your data. There is no lock-in past the first three months, which exist so that both of us can tell honestly whether it is working.

Your competitors are asleep. That's the opportunity.

Start with the audit. It's free, it takes a week, and you keep the report whether or not you ever work with us.

Integrate, don’t replace

It plugs into what you already run.

Nobody wants a system that demands they abandon the diary, the CRM and the accounting package they have used for nine years. This sits on top of what you already have. And where the answer is genuinely a rebuild, we will say so rather than pretend a connector exists.

On models: we are not tied to one vendor. Claude, GPT and Gemini each do some things better than the others, and for legal and medical work we run open-weight models privately so content never leaves infrastructure you control. Which one is behind your build is a decision we make on the merits and tell you about, not a religion.

There are good firms in this market and some of them are a better fit for you than we are. Here is the honest version, including the cases where you should not phone us at all.

Why there are still no numbers

We can show you the work. We can't show you anybody's revenue.

The four above are real and named with permission. What is missing is a measured before-and-after — that number belongs to the client, and none has published theirs yet. When one does, it goes here with their name on it.

If you would like that to be you: the first three businesses in each industry pay no setup fee and keep their founding rate for twelve months, in exchange for the case study, a Google review and two introductions. That is the whole deal, and it is on the pricing page with the other four.

Published, in Rands, on the page.

AI automation pricing for South African businesses. Ranges, because a five-person practice and a forty-person firm aren't the same job — but real numbers, not "contact us".

What moves the number

Why we quote a range instead of a price.

Volume

Forty enquiries a month and four hundred are different systems. More volume usually means more edge cases, not just more messages.

Channels

WhatsApp alone is straightforward. WhatsApp plus phone plus three forms plus a shared inbox is a week of plumbing before anything clever happens.

What it connects to

A modern diary and a normal CRM: easy. A practice management system from 2009 with no API: not impossible, but honestly quoted.

How regulated you are

Legal and medical work carries POPIA obligations and, often, private model hosting. It costs more because it should.

Why we are the cheapest on this list

Because we would rather have your numbers than your money.

Every figure on this page is under what the rest of the South African market charges, and that is deliberate rather than desperate. We are new. The Results page is empty and we are not going to fill it with borrowed logos, so the only way we get real South African numbers on it is to be the obvious, easy, low-risk yes for the businesses who go first.

The honest version of the deal: help the business first and the rest follows. If your enquiries get answered, your diary fills and your admin stops eating your evenings, you tell someone. In industries where everybody knows everybody, that has always been worth more than a margin. We would rather be paid properly in three years by people who stayed than squeeze the first thirty.

Two things we will not pretend about. These are founding prices and they will go up as the case studies land — the businesses who come in now keep theirs for as long as they stay, and that is in writing. And cheap does not mean thin: the scope on this page is the same scope at any price, because a system that half works is worse than no system at all.

What the rest of the market charges.

Do not take our word for it. Here is what we are priced against — published, with the sources, in August 2026.

Every figure above is theirs, not ours. If one of them has moved, tell us and we'll change the table.

The audit comes first

You get a number before you get an invoice.

Every engagement starts with the audit — free version in a week, paid deep version a flat R2 500 and credited in full against any build you go ahead with. It tells you where the money is leaking and what fixing it would cost. If the honest answer is that you don't need us, that's what it'll say.

Pricing questions

The ones that stop people booking.

What's the setup fee, really?
Usually one to two months of the retainer, depending on how many channels and systems we're connecting. It's quoted after the audit, as one number, before you commit to anything.
Am I locked into a contract?
Month to month after the first three, and the first three exist because that's how long it takes to know whether it's working. If you leave, you keep the workflows and the documentation.
What if my volumes are tiny?
Then Reception at the bottom of the range, or honestly, one of the R299 tools. We'll tell you which on the call and we won't be precious about it.
Do you charge per message or per conversation?
No. Flat monthly, so a good month doesn't cost you more. Model costs are ours to manage — that's our problem to optimise, not yours to worry about.
Is there a cost when it hands over to me?
None. It's meant to hand over. Charging you for the escalations would be an incentive to build something that never escalates, which is exactly the wrong incentive.

A media agency that got tired of watching leads die.

Awake AI is the sister company to Awake Media Agency, and it exists because of something we kept seeing from the marketing side.

For years we ran campaigns for South African businesses and watched the same thing happen. The ads worked. The leads arrived. And then a good third of them simply evaporated between arriving and being answered.

Not because anyone was lazy. Because the person meant to answer was on a roof, in a patient's mouth, or in court. Because the enquiry came in at 20:40 on a Saturday. Because three quotes went out on Monday and ours was the second one.

You cannot fix that with more advertising. You fix it by putting something at the front door that never sleeps, never gets busy, and never forgets to follow up.

Why South Africa specifically

Most AI automation being sold here is repackaged from somewhere else — American playbooks, American assumptions, dollar pricing with a Rand conversion. It doesn't account for WhatsApp being the default channel, for load reduction, for medical aids, for POPIA, or for the fact that a South African customer can tell within one message whether they're talking to something local.

We're in Cape Town. We price in Rands. And we only take on four industries, because going deep in four beats being adequate in thirty.

What we're not

We're not a reseller with a white-labelled chatbot. We're not going to tell you AI will transform your business. And we're not going to put logos on the results page that aren't ours. If a R299 tool would do the job, we'll say so on the call — we'd rather lose the sale than take a fee for something that won't move.

Whatever route you pick, you'll hear back in seconds — which is the point of the whole exercise.

What happens now

  1. Right now. A confirmation is on its way to the address you gave us. If it is not there in a minute, look in the promotions tab before you worry.
  2. Before the call. Nothing to prepare. No forms, no questionnaire. Bring the thing that is annoying you most and we will start there.
  3. On the call. Thirty minutes, no deck. If we are not the right people for the job we will say so and point you at who is.

While you wait

You do not have to take our word for any of it. Everything in the Playground runs in your browser, right now, with no form in front of it.

Need to change it? Reply to the confirmation email, or send us a note and we will move it.

POPIA & your data

Written to be read, not to be defensible. Last reviewed July 2026.

Written for owners, not for the algorithm.

Practical writing about AI automation, speed-to-lead and running a South African business that answers.

Ten articles, all of them written, all of them free to read without giving us anything. Every figure in them is either sourced against a named study or marked as your own number to fill in — we do not estimate on your behalf, and we do not publish percentages we cannot trace.

An AI agency vs a R299 tool.

An honest comparison, including the cases where the cheap tool is genuinely the right answer.

Choose the tool if…

You're under about thirty enquiries a month, they arrive on one channel, the questions are simple and repetitive, and you enjoy tinkering. That's a real scenario and we'll say so on the call.

Choose built-for-you if…

Your jobs are worth more than a few thousand Rand, enquiries come from everywhere, the answers depend on things only your systems know, or you're in a regulated industry. The maths gets obvious fast.

Come find us We answer on all of these too — usually before anyone else does.
