The actual problem

You're not losing to better businesses. You're losing to faster ones.

Nobody chooses the dentist with the nicest website or the installer with the best reviews. They choose whoever picks up. And in most South African small businesses, the person who picks up is also the person doing the work — so half the time, nobody does.

The call that rings out

It goes to voicemail. Almost nobody leaves one. You never learn it happened, so it never shows up as a problem — it just quietly shows up as a slower month.

The quote that takes two days

By the time it lands, they've had two others. The Lead Response Management study — MIT's James Oldroyd with InsideSales, 15 000 leads and over 100 000 call attempts — found the odds of qualifying a lead fall twenty-one-fold between a five-minute reply and a thirty-minute one.

The admin that eats the week

Rescheduling, reminders, chasing, re-typing the same details into three systems. None of it grows anything. All of it costs you evenings.

Nothing on this block is a statistic we are asserting. The sliders open on a plausible shape so the page isn't empty, and every vertical page has its own version with its own starting point. Move them to your figures and the number is yours — the only claim we make here is the multiplication. Where a real published figure is used anywhere on this site, it is named and sourced on the spot.

We'd rather show you nothing than show you something we made up.

Awake AI is new. Most agencies would fill this space with stock logos and a made-up percentage. Instead, here's exactly what we measure from day one — and the moment there are real numbers from a real South African client, they go here with their name on them.

The R299 tool

You can absolutely buy a chatbot subscription for the price of a takeaway. It'll be live this afternoon, it'll answer generic questions, and it will be exactly as good as the hour you spend configuring it. For some businesses that's genuinely enough, and we'll say so on the call.

We map your actual enquiry flow, write what it says in your words, connect it to your diary and your systems, watch every conversation for a fortnight, and change it when it's wrong. It's the difference between owning a tool and having the job done.

Sound familiar?

Three things we hear every single time.

People phone a firm on the worst week of their year

They are anxious, and they will phone the next name on the list within the hour. Whoever answers first, in a human tone, wins the instruction.

Intake eats fee-earning time

Taking the same details for the fifteenth time this week is not what your hourly rate is for, and it is not what anyone went to law school to do.

Compliance makes everyone cautious

So nothing gets automated at all and the firm stays slow. There is a middle path, and it starts with never letting the agent give advice.

Put it on your own numbers

About 2 matters a month instructed somewhere else, because somewhere else answered first.

No benchmark is being claimed here. The sliders open on the shape of a small Cape Town firm so the block is not empty; move them to your own figures and the number becomes yours. The only assertion on this block is the multiplication. A single missed matter can be R50 000 on its own.
What we'd build for you

Four specific things. Not "AI solutions".

01Legal

First response in your firm’s voice

What it is

Answers on web, WhatsApp and phone within seconds, in the register your firm actually uses, and never offers an opinion on the merits.

What it solves

The enquiry that waits two days instructs somebody else, and nobody ever phones back to tell you why.

02Legal

Matter qualification and routing

What it is

Establishes the area of law, the urgency and the jurisdiction, then books the consultation into the right attorney’s diary rather than a general inbox.

What it solves

An hour a day of fee-earning time spent establishing whether a caller is even a matter the firm takes.

03Legal

Conflict and intake capture

What it is

Takes the details once, properly, and hands them over structured — so the first real conversation starts from something rather than nothing.

What it solves

Taking the same details for the fifteenth time this week, then taking them again properly when the file finally opens.

04Legal

POPIA-aware handling by design

What it is

Retention, hosting and access set deliberately instead of by default, with private model hosting available where the matter demands it.

What it solves

A client asking where their information is kept and who can see it, and nobody in the firm being able to answer with a straight face.

Start here — it costs you nothing

The After-Hours Intake Test. Free.

With your permission we enquire at your firm exactly the way a real client would — web form, phone and WhatsApp — on a Friday evening and again on Monday at 08:00.

The door opener

Then we show you the gap in one line: exactly how long your firm took to answer, next to what one instructed matter is worth to you. We bring a live demo of an intake agent handling your actual practice areas, so you are not being asked to imagine anything.

  • Five real enquiries, placed by us with your permission — web form, phone and WhatsApp, on a Friday evening and again on Monday at 08:00.
  • A stopwatch on each one, so you see exactly how long a person in trouble waited before anybody from your firm said a word to them.
  • The same test run on two competing firms, anonymised, so you know whether you are the fast one or the slow one on your own high street.
  • Your own average matter value, which we ask you for — we do not average it against anybody else's book.
  • One page, no deck and no discovery-call funnel, and yours to keep whether or not you ever instruct us.

Hello, I was in an accident on the N1 on Friday and I do not know what to do. Do you handle these?20:12
Good evening. Yes — road accident claims are one of the things this firm does. Nadia is not at her desk on a Sunday evening, but I am her assistant and I can take the details now so she has them first thing. Are you or anyone else injured and receiving treatment?20:12
I have a fractured wrist and my son has whiplash. We were both admitted on Friday night.20:13
I am sorry, that sounds like a rough weekend. Two quick things that matter for a RAF claim: was a case number opened with the police, and do you have the hospital records or a discharge summary?20:13
photo20:13
Thank you — that is the accident report with the case number, which is exactly what she will need. I have logged you and your son as claimants, noted the date of the accident and flagged the three-year prescription date on the file. I am not able to tell you what your claim is worth, and I will not guess — Nadia will.20:14

Live in 30 days, or the month is on us
Nadia opened her laptop on Monday morning to a file that was already built.

That is the whole product in one screen. Somebody has the worst weekend of their year, they reach for the first attorney they can find, and the difference between instructing you and instructing the next name on the list is whether anybody answered on a Sunday evening.

It never gives legal advice and it never estimates a claim. It gathers, it reassures, it captures the facts that matter for that matter type, and it flags conflicts against your existing files before a consultation is confirmed. Privileged content can run on models hosted in a region you control, and for the first fortnight a person here reads every conversation it has and corrects it.

A small compliance-audit app the firm gives or sells to its own SME clients. Build it once, every firm wants to be the one offering it, and it quietly feeds them leads.

Talk about this one

One of these gets built once and licensed to everyone in your industry. That is the difference between an agency and a product company — and it is why this is hard to copy. A competitor can copy an offer in a week. They cannot copy a shipped product.

The whole thing, start to finish

What actually happens when an enquiry comes in.

No jargon and nothing hand-waved. This is the sequence, in order, with the part most people worry about written underneath each step.

  1. 01

An enquiry lands, and it is rarely office hours

Somebody has been arrested, retrenched, served, or hurt. They find your firm on a Sunday evening or at 21:40 on a Wednesday, and they will phone the next name on the list within the hour if nothing happens. The web form, the phone and the WhatsApp number all land in the same place and the clock starts on all three.

The bit people ask about: Nothing changes about your number or your letterhead. It watches the lines you already advertise, and nothing gets installed on anybody's phone.
  2. 02

It answers in your firm's register, in seconds

Not a legal disclaimer and not an auto-responder. A reply that acknowledges what has happened in human language, explains plainly that the attorney is not at her desk right now, and starts gathering — because the person on the other end mostly wants to know that somebody has them.

The bit people ask about: We write that register with you before it goes live. A criminal defence practice and a conveyancing practice do not sound the same, and neither should their first reply.
  3. 03

It works out what kind of matter this is

RAF, divorce, transfer, CCMA, deceased estate, contract dispute — each needs a different set of first questions. It routes on matter type, asks only what that type actually needs, and requests the document that settles it: the accident report, the letter of demand, the offer to purchase, the notice of termination.

The bit people ask about: It never assesses merits and never estimates a claim. Where somebody asks "do I have a case", it says that only an attorney can answer that, and books the consultation.
  4. 04

It runs the conflict check before anything is confirmed

Parties are captured at intake and checked against your existing matters. A clash is flagged to you before a consultation is put in the diary, rather than discovered awkwardly in the room.

The bit people ask about: This is the objection every firm raises first, and it is the reason the intake agent captures parties before it captures anything else.
  5. 05

It books the consultation into the right diary

Into the attorney who does that work, in a slot that respects court days, and with the file already carrying the facts. The client gets a confirmation and a short list of what to bring.

The bit people ask about: A matter where the first consultation is spent taking details for the fifteenth time is a matter that has already cost you an hour of fee-earning time for nothing.
  6. 06

It keeps the client warm without a fee earner doing it

The status update that stops the phone ringing, the outstanding-document chase, the reminder that a consultation is tomorrow. Ordinary courtesy that no firm has time for and every client remembers.

The bit people ask about: A large share of the calls into any firm are status calls. Every one of them interrupts billable work to deliver information the client could have had already.
  7. 07

You get the file, the record and the timeline

The whole thread is on the matter when you open it — who called, what happened, what was captured, what was flagged, and the prescription or transfer date already noted. Retention is set per firm and defaults to twelve months.

The bit people ask about: It is also the thing you never have in a dispute about who said what and when: a timestamped record of every word your firm said on your behalf.

Before you book a call

Whether this is actually for you.

We would rather lose the sale than take a fee for something that will not move. Here is the honest version of both columns.

Your firm is a fit if

  • Enquiries arrive at hours nobody is at a desk — which for RAF, criminal, family and labour work is most of them.
  • A person deciding which firm to instruct usually phones two or three names, and speed decides it.
  • Intake is currently eating fee-earning time, or landing on whoever happens to pick up.
  • A single instructed matter is worth enough that recovering one or two a month pays for the whole thing.
  • You want the conflict check to happen at intake rather than in the consultation room.

Your firm is not a fit if

  • You are under about thirty enquiries a month and your secretary answers every one within the hour.
  • You want something that assesses merits or estimates quantum. We will not build that, at any price.
  • You want it running with nobody reading it. We will not build that either, because that is how it drifts.
  • Your practice is entirely referral-based and you never take a cold enquiry.
  • You need it live next week. Thirty days is the honest floor, and privileged hosting is longer.

Not sure which column you are in? Take the free The Slow Intake Report first. It costs nothing, and the number it gives you answers the question better than we can.

Results for legal

No client numbers here yet — and we won't borrow anyone else's.

This block fills with real figures from a real South African legal business the moment we have them and they are happy to be named. Until then, here is what we measure.

Speed
Median first response on a new matter
Measured on every enquiry rather than a sample, and split by hour so the Sunday evening RAF call is not hidden inside a weekday average.
Target: under 60 seconds
Capture
Enquiries answered vs never answered
The share of everything that arrived which actually got a reply. This is the number the free Slow Intake Report gives you before we build anything.
Target: nothing goes unanswered
Conversion
Consultations booked from enquiries
Not "interested" and not "engaged" — a consultation in an attorney's diary with the parties already captured and the conflict check already run.
Measured, not attributed
Time
Fee-earning hours handed back
The intake, the status calls and the document chasing the system now does that an attorney or a secretary used to. Counted honestly — if it is two hours we say two hours.
Reported monthly
Legal questions

The ones we get asked most.

Will it give legal advice?
No, and it is built so that it cannot. It gathers facts, it reassures, and it books. Any question that touches merits, prospects, quantum or strategy gets the same answer: only the attorney can answer that, and here is the earliest she can. That boundary is agreed with you in writing before it goes live.
How does it handle conflicts of interest?
It captures the parties — all of them, including the other side — at intake, and checks them against your existing matters before a consultation is confirmed. If anything matches, it flags it to you and does not book. That is the single most common objection we get from firms, so it is the first thing the agent does rather than the last.
Is this POPIA compliant?
You remain the responsible party; we act as an operator. Conversation transcripts, contact details and whatever the matter needs are kept for a period you set, twelve months by default and often shorter for legal work. When a data subject asks what is held about them, you get it back within one working day with one-click deletion, and that mechanism is built into every deployment rather than promised in a policy.
Where does privileged information actually sit?
In a hosting region agreed with you. For legal work we can run open-weight models privately so that content never leaves infrastructure you control, and sub-processors are named in your agreement with no changes without telling you first. It costs a little more than the standard build and for most firms it is worth it.
Will clients know they are talking to an assistant?
It says so in the first line — "Nadia is not at her desk, I am her assistant". It never pretends to be an attorney and never signs off as one. In practice that honesty is reassuring: a person in trouble is far more forgiving of an assistant taking details than of a voicemail at 20:00 on a Sunday.
What about attorney-client privilege?
Privilege attaches to communications for the purpose of legal advice, and nothing the agent does changes who the client is communicating with — it is your firm's system, on your firm's line, under your firm's control. What we do is make sure the content sits where you want it to sit and that the retention and deletion rules are yours. If your professional indemnity insurer wants to see how it works, we will walk them through it.
We are a two-attorney firm. Is this overkill?
Sometimes, and we will say so. If you get under about thirty enquiries a month and your secretary answers all of them within the hour, you may not need this yet. Where it earns its keep is the firm where intake is eating fee-earning time, or where enquiries arrive at hours nobody is at a desk — which for personal injury, criminal and family work is most of them.
What does it cost?
Intake starts at R2 450 a month with a once-off setup. The full front desk — intake, follow-up, status updates and a dashboard — runs R5 900 to R9 500. The Client Matter Portal is milestone-billed from R60 000. All of it is on the pricing page in rands, with the reason each figure is a range.
How long before it is live?
Live in thirty days or the first month is on us. Realistically: a week of intake audit, two to four weeks of build with you approving every line the agent can say, then it goes live and we read every conversation for a fortnight. Private hosting and a practice-management integration sit at the longer end.
Can it work with our practice management system?
Usually. Modern systems with an API are straightforward. A practice management system from 2009 with no API is not impossible but it is honestly quoted — sometimes the right answer is a small bridge, and sometimes the right answer is that it writes into the diary and a person does the rest.
What if it says something wrong to a client?
It is built to stop and fetch a person rather than guess, and for the first fortnight we read every conversation it has. An agent that says "I am not able to answer that, but Nadia can, and here is when" is worth far more to a law firm than one that always has an answer.
Does it work in Afrikaans and isiXhosa?
It replies in whichever language the person opened with. For a firm doing RAF, labour or family work in the Western Cape that is not a nicety — a person writing in Afrikaans who gets an English auto-reply has already decided something about your firm.

Your competitors are asleep. That's the opportunity.

Start with the audit. It's free, it takes a week, and you keep the report whether or not you ever work with us.

There are thirty-two of these.

Above is the shape of it. The full catalogue lists every single thing we build — what it is, what it actually does, how long it takes and what it costs — plus the four pods you can buy it as, everything it plugs into, and an honest page on when you should hire somebody else instead of us.

Every single thing we will build for you.

Filter it if you like, but nothing here is hidden behind a sales call. Each card opens to the full explanation — what it is, why it matters, and what it will and will not do.

Showing
Integrate, don’t replace

It plugs into what you already run.

Nobody wants a system that demands they abandon the diary, the CRM and the accounting package they have used for nine years. This sits on top of what you already have. And where the answer is genuinely a rebuild, we will say so rather than pretend a connector exists.

On models: we are not tied to one vendor. Claude, GPT and Gemini each do some things better than the others, and for legal and medical work we run open-weight models privately so content never leaves infrastructure you control. Which one is behind your build is a decision we make on the merits and tell you about, not a religion.

Including when the answer isn’t us

Who you should actually hire.

There are good firms in this market and some of them are a better fit for you than we are. Here is the honest version, including the cases where you should not phone us at all.

Why there are still no numbers

We can show you the work. We can't show you anybody's revenue.

The four above are real and named with permission. What is missing is a measured before-and-after — that number belongs to the client, and none has published theirs yet. When one does, it goes here with their name on it.

If you would like that to be you: the first three businesses in each industry pay no setup fee and keep their founding rate for twelve months, in exchange for the case study, a Google review and two introductions. That is the whole deal, and it is on the pricing page with the other four.

Published, in Rands, on the page.

AI automation pricing for South African businesses. Ranges, because a five-person practice and a forty-person firm aren't the same job — but real numbers, not "contact us".

What moves the number

Why we quote a range instead of a price.

Volume

Forty enquiries a month and four hundred are different systems. More volume usually means more edge cases, not just more messages.

Channels

WhatsApp alone is straightforward. WhatsApp plus phone plus three forms plus a shared inbox is a week of plumbing before anything clever happens.

What it connects to

A modern diary and a normal CRM: easy. A practice management system from 2009 with no API: not impossible, but honestly quoted.

How regulated you are

Legal and medical work carries POPIA obligations and, often, private model hosting. It costs more because it should.

Why we are the cheapest on this list

Because we would rather have your numbers than your money.

Every figure on this page is under what the rest of the South African market charges, and that is deliberate rather than desperate. We are new. The Results page is empty and we are not going to fill it with borrowed logos, so the only way we get real South African numbers on it is to be the obvious, easy, low-risk yes for the businesses who go first.

The honest version of the deal: help the business first and the rest follows. If your enquiries get answered, your diary fills and your admin stops eating your evenings, you tell someone. In industries where everybody knows everybody, that has always been worth more than a margin. We would rather be paid properly in three years by people who stayed than squeeze the first thirty.

Two things we will not pretend about. These are founding prices and they will go up as the case studies land — the businesses who come in now keep theirs for as long as they stay, and that is in writing. And cheap does not mean thin: the scope on this page is the same scope at any price, because a system that half works is worse than no system at all.

What the rest of the market charges.

Do not take our word for it. Here is what we are priced against — published, with the sources, in August 2026.

Sources, August 2026: BizAI (self-serve bots R299–R799, receptionists R999–R3 500, human receptionist R8 000–R15 000); BlueBird Digital (managed R3 000–R20 000 a month, setup R25 000–R150 000+, junior admin clerk R8 000–R15 000); Auto Alpha Advisory (professional setup R5 000–R30 000, advisory retainer R15 000–R40 000, custom agent R75 000–R200 000). Every figure above is theirs, not ours. If one of them has moved, tell us and we'll change the table.

The audit comes first

You get a number before you get an invoice.

Every engagement starts with the audit — free version in a week, paid deep version a flat R2 500 and credited in full against any build you go ahead with. It tells you where the money is leaking and what fixing it would cost. If the honest answer is that you don't need us, that's what it'll say.

Pricing questions

The ones that stop people booking.

What's the setup fee, really?
Usually one to two months of the retainer, depending on how many channels and systems we're connecting. It's quoted after the audit, as one number, before you commit to anything.
Am I locked into a contract?
Month to month after the first three, and the first three exist because that's how long it takes to know whether it's working. If you leave, you keep the workflows and the documentation.
What if my volumes are tiny?
Then Reception at the bottom of the range, or honestly, one of the R299 tools. We'll tell you which on the call and we won't be precious about it.
Do you charge per message or per conversation?
No. Flat monthly, so a good month doesn't cost you more. Model costs are ours to manage — that's our problem to optimise, not yours to worry about.
Is there a cost when it hands over to me?
None. It's meant to hand over. Charging you for the escalations would be an incentive to build something that never escalates, which is exactly the wrong incentive.

A media agency that got tired of watching leads die.

Awake AI is the sister company to Awake Media Agency, and it exists because of something we kept seeing from the marketing side.

For years we ran campaigns for South African businesses and watched the same thing happen. The ads worked. The leads arrived. And then a good third of them simply evaporated between arriving and being answered.

Not because anyone was lazy. Because the person meant to answer was on a roof, in a patient's mouth, or in court. Because the enquiry came in at 20:40 on a Saturday. Because three quotes went out on Monday and ours was the second one.

You cannot fix that with more advertising. You fix it by putting something at the front door that never sleeps, never gets busy, and never forgets to follow up.

Why South Africa specifically

Most AI automation being sold here is repackaged from somewhere else — American playbooks, American assumptions, dollar pricing with a Rand conversion. It doesn't account for WhatsApp being the default channel, for load reduction, for medical aids, for POPIA, or for the fact that a South African customer can tell within one message whether they're talking to something local.

We're in Cape Town. We price in Rands. And we only take on four industries, because going deep in four beats being adequate in thirty.

What we're not

We're not a reseller with a white-labelled chatbot. We're not going to tell you AI will transform your business. And we're not going to put logos on the results page that aren't ours. If a R299 tool would do the job, we'll say so on the call — we'd rather lose the sale than take a fee for something that won't move.

Whatever route you pick, you'll hear back in seconds — which is the point of the whole exercise.

What happens now

  1. Right now. A confirmation is on its way to the address you gave us. If it is not there in a minute, look in the promotions tab before you worry.
  2. Before the call. Nothing to prepare. No forms, no questionnaire. Bring the thing that is annoying you most and we will start there.
  3. On the call. Thirty minutes, no deck. If we are not the right people for the job we will say so and point you at who is.

While you wait

You do not have to take our word for any of it. Everything in the Playground runs in your browser, right now, with no form in front of it.

Need to change it? Reply to the confirmation email, or send us a note and we will move it.

POPIA & your data

Written to be read, not to be defensible. Last reviewed July 2026.

Written for owners, not for the algorithm.

Practical writing about AI automation, speed-to-lead and running a South African business that answers.

Ten articles, all of them written, all of them free to read without giving us anything. Every figure in them is either sourced against a named study or marked as your own number to fill in — we do not estimate on your behalf, and we do not publish percentages we cannot trace.

An AI agency vs a R299 tool.

An honest comparison, including the cases where the cheap tool is genuinely the right answer.

Choose the tool if…

You're under about thirty enquiries a month, they arrive on one channel, the questions are simple and repetitive, and you enjoy tinkering. That's a real scenario and we'll say so on the call.

Choose built-for-you if…

Your jobs are worth more than a few thousand Rand, enquiries come from everywhere, the answers depend on things only your systems know, or you're in a regulated industry. The maths gets obvious fast.

Come find us We answer on all of these too — usually before anyone else does.
