Why we quote a range instead of a price.

Volume

Forty enquiries a month and four hundred are different systems. More volume usually means more edge cases, not just more messages.

Channels

WhatsApp alone is straightforward. WhatsApp plus phone plus three forms plus a shared inbox is a week of plumbing before anything clever happens.

Every figure on this page is under what the rest of the South African market charges, and that is deliberate rather than desperate. We are new. The Results page is empty and we are not going to fill it with borrowed logos, so the only way we get real South African numbers on it is to be the obvious, easy, low-risk yes for the businesses who go first.

The honest version of the deal: help the business first and the rest follows. If your enquiries get answered, your diary fills and your admin stops eating your evenings, you tell someone. In industries where everybody knows everybody, that has always been worth more than a margin. We would rather be paid properly in three years by people who stayed than squeeze the first thirty.

Two things we will not pretend about. These are founding prices and they will go up as the case studies land — the businesses who come in now keep theirs for as long as they stay, and that is in writing. What's the setup fee, really?
Usually one to two months of the retainer, depending on how many channels and systems we're connecting. It's quoted after the audit, as one number, before you commit to anything.
Am I locked into a contract?
Month to month after the first three, and the first three exist because that's how long it takes to know whether it's working. If you leave, you keep the workflows and the documentation.
What if my volumes are tiny?
Then Reception at the bottom of the range, or honestly, one of the R299 tools. We'll tell you which on the call and we won't be precious about it.
Do you charge per message or per conversation?
No. Flat monthly, so a good month doesn't cost you more. Model costs are ours to manage — that's our problem to optimise, not yours to worry about.
Is there a cost when it hands over to me?
None. It's meant to hand over. Charging you for the escalations would be an incentive to build something that never escalates, which is exactly the wrong incentive.

A media agency that got tired of watching leads die.

For years we ran campaigns for South African businesses and watched the same thing happen. The ads worked. The leads arrived. And then a good third of them simply evaporated between arriving and being answered.

Why South Africa specifically

Most AI automation being sold here is repackaged from somewhere else — American playbooks, American assumptions, dollar pricing with a Rand conversion. It doesn't account for WhatsApp being the default channel, for load reduction, for medical aids, for POPIA, or for the fact that a South African customer can tell within one message whether they're talking to something local.

We're in Cape Town. We price in Rands. And we only take on four industries, because going deep in four beats being adequate in thirty.

AI Chatbot vs AI Agency in South Africa

The volume, channel and job-value thresholds where a subscription tool beats hiring anybody — including us. Most small businesses sit under them.

The choice between an off-the-shelf AI chatbot and an AI agency in South Africa is usually presented as a quality question. It is not. It is an arithmetic question, and the arithmetic has three inputs you already have.

We build custom systems and charge accordingly. So take the following with the appropriate suspicion, and then check it against your own numbers, because the arithmetic does not care who is writing.

For a great many South African small businesses, an off-the-shelf chatbot on a monthly subscription is the correct purchase, and anything we would build is a waste of money. Here is how to tell which one you are.

The three thresholds

There are only three questions that matter, and they are all about volume, channel and value. Everything else is detail.

One — how many enquiries a month?

Below roughly thirty or forty enquiries a month, almost nothing is worth automating deeply, whatever an agency in Cape Town tells you. At that volume the owner is genuinely able to answer them, the edge cases are frequent enough that a system would be wrong often, and the recovery from any single miss is small.

A cheap tool that catches the after-hours ones and holds them until morning is the right shape of solution. It costs about what a tank of petrol costs and it solves the actual problem.

Above a couple of hundred a month, the calculation reverses. At that volume the misses are no longer occasional, the patterns are consistent enough to build against, and the owner is spending real hours on repetitive replies.

Two — which channel, and do the channels need to agree?

This is where the South African answer diverges from the imported one. DataReportal's Digital 2026 report puts WhatsApp reach at roughly 96% of South African internet users — among the highest penetration anywhere in the world. Practically, that means your enquiries do not arrive where the American tooling assumes they arrive.

A great many cheap chatbots are website widgets. A website widget in a market where the customer's instinct is to WhatsApp you is solving a problem you do not have. Before comparing prices, check where last month's enquiries actually came from. If eight in ten arrived on WhatsApp, a website-only tool at any price is the wrong purchase.

Once you are on the right channel, the next question is how many of them there are. A business that takes enquiries only through one channel has a simple problem, and simple problems have cheap solutions.

A business where the same customer might phone, then WhatsApp, then message the Facebook page, and expects the third conversation to know about the first two, has a genuinely different problem. Off-the-shelf tools are generally good within a channel and poor across them. That is not a criticism of the tools; it is what they are priced for.

If your enquiries arrive on one channel, the cheap answer is probably right. If they arrive on four and the customer expects continuity, it usually is not.

Three — what is one job worth?

This is the one that overrules the other two.

Use your own average, because this is the number that decides it. Where a job is worth a few hundred rand, the arithmetic almost never justifies a build — you would need to recover a great many missed enquiries to pay for it, and the recovery rate on any system is a fraction rather than all of them.

Where a single job runs into tens of thousands — a solar install, a conveyancing matter, a course of treatment — one recovered enquiry pays for months of almost anything, and the threshold moves a long way down. Your figure, not ours.

AI chatbot vs AI agency: what the South African market actually looks like

Worth being concrete about who you are choosing between, because "chatbot" and "agency" cover a wide spread.

Subscription tools, usually a few hundred rand a month. You upload a document, it answers questions from it, it captures a name and number. Live the same afternoon. Priced per month with no setup, and you can leave whenever you like.

Local implementers, who take one of those tools and configure it for you. You pay a setup fee and keep paying the subscription underneath. The value is that somebody who understands your business does the configuration; the risk is that you are now paying agency prices for tool capability.

Build shops, who write something for you. Setup runs into tens of thousands of rand and there is a monthly cost afterwards. Worth it when the thing you need does not exist off the shelf; expensive when it does.

The failure mode in this market is not people buying the wrong tier. It is people buying the middle tier — paying implementer prices for something a subscription would have done, because nobody laid the three options out.

What the cheap tools genuinely do well

It is worth being specific, because "you get what you pay for" is lazy.

Subscription tools are good at answering frequently asked questions from a document you upload. They are good at capturing a name and a number outside office hours so nobody vanishes. They are good at handing off to a person when they are out of their depth, provided somebody configured that properly. And they are good at being live this afternoon rather than in six weeks.

That last one is underrated. A tool running today that handles sixty percent of enquiries badly is often worth more than a perfect system that is still three weeks from launch, because the enquiries arriving this week do not wait.

Where they run out

They run out in four predictable places.

When the answer depends on your data rather than your FAQ. "Is Dr Petersen free on Thursday" is not a question a document can answer. It requires the diary, and it requires writing to the diary.

When the conversation has to cross channels. A caller who phoned yesterday and WhatsApps today is one customer. Most cheap tools see two strangers.

When getting it wrong is expensive. A tool that occasionally invents an answer is a minor irritation for a hardware shop and a serious problem for a law firm or a practice. The cost of a confident wrong answer is not evenly distributed across industries.

When it needs to do something rather than say something. Booking, taking a deposit, generating a quote from a photograph, updating a job card. Saying is cheap. Doing requires integration with the systems you already run, and that is the line where subscription pricing stops.

What it costs to be wrong in each direction

Both mistakes are recoverable. They are not equally expensive.

Buying too cheap costs you a few hundred rand a month and some months of enquiries handled worse than they should have been. You cancel, you move on. The tool did not lock you in because there was nothing to lock — that is what a monthly subscription with no setup fee buys you.

Buying too expensive costs a setup fee you will not get back, a minimum term, and the opportunity cost of the thing you did not spend it on. It also tends to cost longer, because a business that has paid a setup fee is reluctant to admit it early.

That asymmetry has an obvious implication and almost nobody acts on it: when you genuinely cannot tell which side of the threshold you are on, take the cheap option first. Run it for three months. You will know by then, from evidence rather than from a sales conversation, and the evidence will cost you less than the discovery call would have.

Any supplier who argues against that is arguing against your interest.

The honest test

Write down the last twenty enquiries you received. Beside each one, mark whether a system that had read your website — and nothing else — could have handled it properly.

If the answer is sixteen or more, buy a subscription tool this afternoon and stop reading agency websites. The published prices in that market sit in the low hundreds of rand a month, and it will solve the thing.

If the answer is closer to eight, the gap is where your actual business is, and no amount of subscription tooling closes it. That is the point at which a build starts to make sense, and it is also the point at which you should ask any supplier — including us — to show you exactly which of those twelve they intend to handle and how.

The POPIA question that applies whichever you pick

This one catches people who assumed cheap meant simple.

The moment any tool handles your customers' messages, it is processing personal information on your behalf. Under POPIA that makes it an operator, and the arrangement has to be in writing and has to bind them to the Act's security obligations. A subscription signed up for on a credit card, with terms nobody read, is the most common version of this gap in South African small business.

It is not an argument for a build. Plenty of subscription tools have perfectly adequate data-processing terms. It is an argument for reading them, and for knowing which country your customers' conversations are sitting in. There is a longer walk through it in AI and POPIA.

Why we publish this

Two reasons, one of them self-interested.

The honest one is that a client who buys a system they did not need is a client who cancels in four months, tells people it did not work, and is right. We would rather lose that sale.

The self-interested one is that the businesses above the thresholds are the ones worth working with, and the fastest way to find them is to send everybody else somewhere cheaper. A business that has outgrown a R299 tool knows it, because they have watched it fail on the specific things above.
